How Interactions Relate to Salesforce Activities (Tasks and Events), Email Plugins and Third-Party Products
Salesforce Tasks
Tasks convert to Interactions once the “Status” field is updated to “Completed”. The screenshot below depicts a Task on a Contact record:
When the “Status” field on a Task record is changed to “Completed”, an Interaction record is created. The Interaction record is populated with information from the Task record automatically and can be adjusted at any time as needed.
The Interaction “Name” reflects the Task “Subject” along with the corresponding “Date”. The Interaction “Type” reflects the Task “Status”, and the Interaction “Owner” reflects the user the Task record is assigned to. Finally, the Interaction “Reference List” reflects the “Name” associated with the Contact or Account record the Task was related to.
The screenshot below depicts the Interaction record created once the Task above was marked as “Completed”:
Salesforce Events
Events convert to Interactions once the Event start date and time have passed. The screenshot below depicts an Event with the date and time in the past:
The Interaction record is created with the information from the Event record, and can be adjusted at any time. The Interaction “Name” reflects the Event “Subject”. The Interaction “Summary” also reflects the Event “Subject”. The Interaction “Reference List” reflects the “Name” of the Contact or Account record the Event was created on.
The screenshot below depicts the Interaction record that was created once the above Event record’s start date and time passed:
Email Plugins, Calendar Syncs, and Third Party Products
Most email plugins and calendar syncs push emails and events to Salesforce as Tasks, Events, or Email Messages. AIM’s code creates Interactions and Interaction References from those standard Salesforce records, parsing each one to find email addresses from which to create Interaction References. Altvia regularly tests AIM Inbox and Lightning for Gmail/Outlook and we recommend using either of those as your email plugin solution.
There are third party products that fall outside the email connector/calendar sync categories that create Tasks and Events in Salesforce. Our code will also attempt to convert those records into Interactions and Interaction References as well. If you would not like to convert those, please contact Altvia Support to restrict parameters for conversion.
If you have any questions, please don’t hesitate to email support@altvia.com and we’ll be happy to help!
